PROBLEMS

LR Solutions has a long-standing relationship with Kerr-McGee, a company purchased by Anadarko that was then part of a larger transaction for Occidental, an oil and gas company. With hundreds of micro and macro projects required for each company’s transfer of ownership, Frank needed to ensure that the leadership of  each  company got what they needed every step of the way. 

When the process first started, Kerr-McGee’s entire folder structure and document taxonomy was managed and maintained manually. Frank needed to implement a modernized, automated document management system that reduced project times from days down to hours.

The Occidental  platforms out on the ocean had extremely low bandwidth. Pulling thousands of documents required remote cache sites out on the platforms themselves, while their base in Houston was still able to maintain primary control remotely. . Because of the protracted and outmoded workflow, the companies were  losing time and therefore money throughout the process. 

With a series of additional technical hiccups slowing down and interrupting project workflows, Kerr-McGee, and by extension Occidental, needed an experienced professional to step in and implement a brand new document migration process from the ground up.

GOALS

Document Migration

Occidental needed a massive number of documents uploaded into a content management system that, up to that point, had been manually maintained in a rudimentary folder structure.Some of these documents or digital assets were being combined, others were being separated out. A huge content divestiture was necessary while various parts of the company were bought out by other companies. Keep in mind: everything needed to be fully-functional during the transition.

Time-Saving Efforts

When Frank first arrived on the scene, some of these processes took employees 2 or 3 days to complete. Each! Costing the company valuable workforce hours and salaries. 400-500 projects were needed to be added into everyday content management workflow which  at the current rate would have been logistically impossible. They desperately needed a process that completely streamlined their workflow and dramatically reduced task completion times. .

Version Upgrading

Occidental needed to  upgrade from version 10 to version 20, which was a massive leap in terms of infrastructure and usability.. Moving from one infrastructure policies and procedures to another simultaneously required  a large, coordinated effort. This mountain of system transitions had to be managed and handled asynchronously.

Mass Change of Metadata

A trove of metadata that had to be transferred  as a part of the transmittal process.Occidental  is a central clearing house for all documentation company-wide, so they’re often dealing with 50 or more vendors at any given time to receive, review, and verify assets, meaning the amount of accompanying metadata was huge.A defined workflow with a timer to keep everyone accountable was essential.

PROCESS & HIGHLIGHTS

A true partner was needed to come in and develop unique systems to remove any interruptions and hiccups. A proactive approach was taken by Frank in order to minimize the disruption caused by the pain points in the current system. LR Solutions provided proprietary structures that allowed mass changes to metadata without a large stoppage in the migration process.

LR Solutions worked with many different parts of the companies to identify the total amount of documents and data for the respective companies and projects. It was paramount to ensure that each of these companies got exactly what they needed out of the deals. 

LR Solutions also analyzed the existing structure to provide an accurate prescription on how to optimize the content migration. LR Solutions was able to step in and become a stop-loss agent to avoid further financial losses on the companies’ behalf.

LR Solutions made sure that, although there is no measurable ROI, that if something was needed, it got done. There were a lot of intangibles accomplished, as well as a reduction in the number of rejected transmittals. 

LR Solutions was able to lighten the load for the document loaders inside the company since a large portion of the work was pushed back to the vendor directly. Creating projects themselves used to be a multi day process, but after Frank’s help streamlining the process, it was reduced to mere minutes.

Finally, to ensure future success, the company was then employed with the same tools as Frank so that they can run, manage, and sustain things themselves and handle all the basics on site.
